Johnson, Senior Administrative Clerk Section 101.005 Page 1 of 3 PURPOSE The purpose of this policy is to establish procedures and responsibilities for the use and approval of member leave for the Fresno Fire Department (Department or FFD). APPLICATION Leave usage and approval for members of bargaining units 1, 2, 3, 10, 13 and 14. Unit 5: Refer to Administrative Manual Section 101.002, Constant Staffing Policy OPERATIONAL POLICY All members are required to enter requests for leave through TeleStaff. OPERATIONAL GUIDELINE All leave times utilized by members should be requested and approved by their supervisors through TeleStaff prior to the leave period. The proper utilization of TeleStaff for requests and approval of leave will reduce payroll workload and eliminates the need for printed copies. Unit 10: Once leave time is entered, the requested leave will remain in requested status until approved by a staffing chief. TeleStaff will not create vacancies until the leave request is approved. Units 1, 2, 3, 13, and 14: Requests for leave time are required to be entered in and approved by respective supervisors through TeleStaff. This includes ANY time resulting in a member not being at work during regularly scheduled work hours. Time must be entered into TeleStaff prior to the requested leave. If calling in sick, Section 101.005 Page 2 of 3 entry must be made prior to 0600 hours. After 0600 hours, notification must be made to a person; voicemail and text message notifications are not accepted as an automatic approval of a requested leave time. Note: Unit 1- Due to MOU specifications in regard to sick leave, members are required to call and speak to a person as well as enter the time in TeleStaff. It is the responsibility of a member’s supervisor to approve leave time requests submitted through TeleStaff. Members will be responsible for notifying their supervisor when their leave deviates from the requested leave. For example: Should an employee return early or late from a scheduled leave, the supervisor must be notified. Once the request has been approved, the work code will disappear from the calendar and any appropriate vacancies will be created. MODIFICATION OF WORK CODES In the event a member’s work code requires modification, a supervisor may open the work code to modify the leave times or change the type of leave entered in TeleStaff.
