SECTION 410.001 ANNUAL VACATION LEAVE SIGN-UP
PURPOSE
The purpose of this policy is to provide direction to members assigned to the Fire
Prevention Division requesting annual vacation leave.
APPLICATION
This policy applies to all members assigned to the Fire Prevention Division.
OPERATIONAL POLICY
The annual vacation leave request form will be distributed to Prevention personnel at
the beginning of each calendar year.
Sign-ups will be based on seniority within each job class and workgroup. The
workgroups include:
1. Fire Prevention Engineer
2. Supervising Inspector
3. Senior Inspector
4. Inspector II
5. Inspector I
6. Senior Administrative Clerk, and other support staff positions
OPERATIONAL GUIDELINE

PROCESS
The annual vacation leave request form will be distributed to the most senior person
in job class and workgroup. After signing up for annual vacation, the leave request
form shall be returned to a supervisor for verification. A supervisor will review the
request for conflicts. If conflicts are discovered, the reviewing supervisor will discuss
with the employee and allow the employee to make alternative choices.

Once conflicts are resolved, the reviewing supervisor will give the leave request form
to the next person in the job class and workgroup to make their selection.
To ensure adequate coverage within the job classes and workgroups, no more than
one-half (1/2) the personnel in each job class are allowed to sign up during the same
time. If there is an odd number of personnel in that job class, the number of staff
allowed to sign up is to be rounded down (i.e., if there are three in a job class, only
one person is allowed to sign up for that time).
After each staff member within a job class and workgroup has completed their
requests, the annual leave draw form will be posted on the K drive for all members to
access. Once the annual leave draw is posted, any additional leave requests during
the year will be evaluated based on the needs of the Division (to include coverage
and/or pending work assignments) before approval is granted.
The Fire Chief, or designee, may deny or revoke additional leaves based on
Department service level coverages.
