PURPOSE
The purpose of this policy is to provide instructions and standardized use of the Fresno
Fire Department (FFD or Department) fire station voice messaging system.
APPLICATION
This policy applies to the utilization and function of the messaging systems on the
Cisco Unified Internet Protocol (IP) Phones used in all fire stations.
OPERATIONAL POLICY

OPERATIONAL GUIDELINE
The IP phone includes a large, backlit, easy-to-read color display for easy access to
communication information, timesaving applications, and features such as date and
time, calling party name, calling party number and digits dialed.
The Department intends to use a standard message for voicemail greetings. All
voicemail greetings should be similar to the following:
“Hello, this is Fresno Fire Department Station XX. If you have an
emergency, please hang-up and dial 9-1-1. Otherwise, stay on the line
and leave a message after the beep. Thank you.”

The pass code for the voice system is a four (4) digit pass code starting with 43XX
and ending with the fire station number (i.e. 4301 for station 1) and should not be
changed without written notice from administration.
A red light and message icon indicates a voice message has been received.
Periodically and upon return to quarters, captains should check to see if a message
has been left for the fire station.
PROCESS
Voicemail Access
1. To access voice messages, press the Messages button.
2. When you have a voice message, look for a steady red light on your
handset. (This indicator can vary.)
3. A flashing message waiting icon and text message on your phone
screen.
4. To send a call to a voice message system, press iDivert.

1. Press and follow the voice instructions.
2. If a menu appears on your screen, choose an appropriate menu item.
