Veiga, Battalion Chief Current Revision Date: 08/25/2025 Section 211.001 Next Revision (2) Date: 08/25/2029 Page 1 of 6 Fresno City Fire Department 200 Standard Operating Procedures Manual SECTION 211.001 PSTRAX PURPOSE This procedure establishes the process to document apparatus checks and equipment inspections. The history of all completed inspections are maintained in PSTrax indefinitely to view or print as needed. APPLICATION To be used by Fresno Fire Department (FFD or Department) personnel involved in the inspection of apparatus and equipment. OPERATIONAL POLICY Daily and weekly emergency checks and equipment inspections shall be documented using the PSTrax electronic program. It is the policy of the Department to ensure all apparatus and associated equipment is always in a ready operational state. It is the responsibility of all Department officers to ensure all apparatus and equipment are inspected according to the established policy by assigned personnel. Captains will be responsible for apparatus inspection oversight. This oversight will ensure apparatus inspections are complete and the apparatus is in a safe working condition. Apparatus inspections will be reviewed daily. • Captains shall review the daily and weekly inspections. • Battalion Chiefs shall review the weekly apparatus checks. Veiga, Battalion Chief Current Revision Date: 08/25/2025 Section 211.001 Next Revision (2) Date: 08/25/2029 Page 2 of 6 PROCESS Daily pre-trip inspections and weekly emergency equipment inspections are completed online through the PSTrax program accessed at PSTrax.com. ACCESS THE PROGRAM: Log in to PSTrax using Google Chrome or Apple Safari browsers. Internet Explorer does not work correctly with this program. 1. Log in at PSTrax.com a. Once logged in, select the change button found in the upper left corner. b. The desired station may be selected. c. Each station has a list of the available apparatus. d. Select the apparatus you wish to check. CHECKLISTS FOR DAILY AND WEEKLY INSPECTIONS: 1. Select Vehicle Checks or As Needed. 2. After selecting the desired checklist, indicate PASS/FAIL for each section. a. Passed checks are indicated by a green check and failed checks are indicated by a red triangle. 3. When a check is failed, add a comment to clarify the repair request. 4. Policy links can be found throughout the checklists to reference specifics regarding the checks and opens in a separate tab once clicked. 5. In the operator signature section at the end of the checklist, enter your name and Department identification number (ID) before submitting the checklist. Effective Date: August 2020 William J. Make any needed changes, then click the log tasks button on the bottom. 7. Completed checks remain in the system’s log indefinitely to allow members to view past daily/weekly inspections. 8. Complete daily checks by 1700 hours. 9. Daily checks not completed by midnight on the day of the inspection are not captured by PSTrax. 10. If a failure occurs and an alert needs to be set; see the section on alerts. ALERTS: Alerts are used to provide notification to a group of recipients via email. Alerts can be set to the vehicle or to the asset. When completing an alert, the following items are completed: • Set the Priority Level. • Add additional attachments if needed. • Provide a description. • Add recipients. The following are the different categories of alerts set in the Vehicle and Station Module: 1. Vehicle Maintenance: Notifies the fire shop of a needed repair to a vehicle. The email recipients are set to the shop members and the person making the alert. 2. Vehicle Equipment/Inventory: Notifies the logistics team of equipment needing repair, replacement, or missing. Additional recipients can include the company officer and chief officer as needed. Effective Date: August 2020 William J. Garcia of any outstanding issues with the out-of-county equipment. 4. Prevention Vehicles Only: Notifies the fire shop of a needed repair to a prevention vehicle. The email recipients are sent to the shop members, Prevention supervisors, and the person making the alert. 5. Airport Vehicles: Notifies the fire shop and airport operations personnel of a needed repair to a vehicle assigned to the airport. A Vehicle and Station Module Alert can be created in multiple ways: 1. When a daily or weekly check fails. 2. Manually, by clicking the set alert button from the station home screen. Once an alert screen is opened, complete the required fields. Required fields are designated by a red outline. Add notes to the notes field including the problem and item to be fixed. Reviewing and closing alerts: 1. Go to the desired station home screen. 2. All alerts for vehicle repair are in the center column. 3. To close an alert, click the edit option. A new screen populates where the alert status needs to be toggled to closed. Add notes, then click save. Asset Specific Alerts: Alerts can be set directly to an asset tracked in the Asset Module. Users can add notes, attachments, priority levels, and recipients. An Asset Module Alert can be created in multiple ways: 1. As-Needed Asset Check Effective Date: August 2020 William J. In the Select an Event drop-down, choose DAILY or WEEKLY EQUIPMENT CHECK. c. A list of assets assigned the vehicle will populate. d. Select the item to be inspected. e. Complete the equipment check and set alerts as needed. 2. Directly from the Asset List a. In the left menu, select Assets, and then Assets List. b. The Assets List will populate. c. From here, you can search for your item by assignment, type, description, manufacturer, ID numbers, etc. d. Once you have located the desired item, the alert can be initiated through the Actions button. e. Set the alert details and save. 3. From the left side menu: a. In the left menu, select Assets, then Alerts, and then Set and Alert. b. This opens an alert box where the user can select to set an alert on a specific item. Search for the item in the drop down and then complete the alert. DEVELOP AND PRINT REPORTS: To initiate an apparatus inspection report, start at the desired station homepage. Reports populated in this section include, but not limited to, daily checks, weekly checks, and SCBA checks. Effective Date: August 2020 William J. Click on the three lines in the upper left corner from the station homepage. 2. Click vehicle & station. 3. Click logs. 4. Enter the desired apparatus and the type of report requested in the empty fields to populate a report. 5. Report can be printed or exported using the export button.
